Grace Fishers Inc. ("Grace Fishers", "we", "us", or "our") is committed to protecting your privacy. By accessing or using our website, mobile application, or services, you agree to the collection and use of your information as described in this Privacy Policy.

1. Information We Collect

We may collect the following types of personal information from you:

• Contact information such as your name, email address, phone number, and mailing address
• Demographic information such as date of birth, gender, marital status, and anniversary
• Account credentials such as username and password
• Financial information such as payment details when making donations or registering for paid events (processed by PushPay — we do not store payment card data directly)
• Ministry-related information such as group memberships, serving teams, attendance history, and event registrations
• Children's information provided by a parent or guardian for check-in, event registration, or preschool enrollment
• Background check information collected for all volunteers and employees. Background checks are conducted through Christian Background Checks, our third-party provider. Grace Fishers only has access to limited information including date of birth, address, email address, and phone number, along with a general pass or flag result. Detailed findings are not provided to Grace Fishers directly.
• Emergency contact information for students, including parent or guardian name, phone number, and relationship, provided at the time of registration or check-in.
• Health and safety information such as allergy information collected for children and students. Allergy information is printed directly on check-in security tags to ensure volunteers and staff can quickly identify and prevent accidental exposure. Additional sensitive medical information that should not appear on tags is stored separately in our secure church database and is accessible only to authorized staff.
• Technical information such as your IP address, browser type, device type, and usage data collected automatically when you visit our website
• Any other information you voluntarily provide through forms, emails, or other communications

2. How We Collect Information

We collect information when you:

• Register for an event, group, class, retreat, or other service
• Make a donation or set up recurring giving
• Download or use our mobile application
• Complete a form on our website (contact form, prayer request, volunteer form, etc.)
• Complete a form hosted on Church Community Builder (CCB), our church database platform. Some forms — including event registrations, volunteer sign-ups, and care requests — are hosted on CCB's platform and linked from our website. Information submitted through these forms is governed by this Privacy Policy and CCB's own privacy policy.
• Register your family for weekend services or check into an event
• Provide information directly as a student. High school students who attend Grace Fishers independently may provide their own personal contact information. We also collect contact information for at least one parent or guardian per student for emergency purposes.
• Security camera footage captured in common areas of our facilities for safety and security purposes. Security cameras are not located in bathrooms, changing rooms, or other private areas. Footage is only reviewed in the event of an incident or safety concern.
• Apply for employment or volunteer positions
• Visit our website (automatically via cookies and analytics tools)
• Enroll your child in Grace Fishers Preschool
• Engage with Brightwheel, our preschool communication platform, which may collect information about preschool students and their families including daily activity reports, attendance, and parent communications

3. How We Use Your Information

We use the personal information we collect for the following purposes:

• To provide prayer, support, ministry services, process event registrations, and fulfill your requests
• To process donations and maintain giving records for tax purposes
• To communicate with you about events, services, and ministry opportunities
• To check you and your family into weekend services and events for security purposes
• To organize and coordinate volunteers and serving teams
• To operate and improve our website and mobile application
• To send you relevant updates, news, and ministry information
• To conduct background checks for all volunteers and employees as part of our commitment to maintaining a safe environment for our community, particularly for children and vulnerable individuals
• To maintain the safety of our community by printing allergy information on children's and students' check-in security tags, and by retaining additional sensitive medical information securely for authorized staff access only.
• To comply with legal obligations

4. Children's Privacy

We do not knowingly collect personal information directly from children under the age of 13 without the consent of a parent or legal guardian. Parents and guardians may provide information on behalf of their children for purposes such as event registration, weekend service check-in, and preschool enrollment. By providing your child's information, you consent to our processing of that information in accordance with this Privacy Policy.

If you are a parent or guardian and believe your child under 13 has provided us with personal information without your consent, please contact us and we will take steps to remove that information.

High school students who attend Grace Fishers independently may provide their own information directly. We collect and retain at least one parent or guardian emergency contact for all students in our database.

For Grace Fishers Preschool families, children's daily activity, attendance, and communications are managed through Brightwheel, a secure preschool management platform. Brightwheel's use of data is governed by their own privacy policy, which we encourage preschool families to review. Preschool photos are stored separately, are password protected, and are accessible only to parents and authorized staff.

5. Sharing and Disclosure of Information

Grace Fishers does not sell your personal information. We may share your information with trusted third-party service providers who assist us in operating our website, mobile application, and ministry, including:

• Church Community Builder (PushPay) — church database and management
• PushPay — mobile application and giving/payment processing
• Christian Background Checks — volunteer and employee background screening
• Clearstream — email and text communications
• Aplos — accounting and financial management
• Google — advertising (Google Ads Grant) and analytics (Google Analytics)
• SmugMug — photograph storage
• The Church Shop — merchandise fulfillment
• Brightwheel — preschool family communication, daily reporting, and engagement for Grace Fishers Preschool families

These third parties are required to keep your information confidential and use it only to provide services to Grace Fishers. We encourage you to review the privacy policies of these third-party providers.

We may also disclose your information as required by law, in response to legal proceedings, or to protect the rights and safety of Grace Fishers, our community, or the public.

6. Cookies and Tracking

We use cookies and similar tracking technologies to improve your experience on our website. Please see our Cookie Policy at gracefishers.church/cookies for full details. We currently use Google Analytics to understand how visitors use our site. We also use Meta (Facebook/Instagram) tools to track engagement with our social media content.

7. Data Security

We take reasonable measures to protect your personal information from unauthorized access, use, or disclosure. Your personal information is stored in secure internal systems or through our trusted third-party providers. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Sensitive information shared in the context of pastoral care appointments is stored in password-protected, access-restricted secure folders accessible only to authorized pastoral staff. This information is not shared with third parties and is used solely to support the pastoral care of individuals who have sought assistance from Grace Fishers.

Allergy information printed on check-in security tags is visible to Grace Fishers volunteers and staff in the areas where your child is checked in. Additional sensitive medical information that is not printed on tags is stored securely in our church database and is accessible only to authorized Grace Fishers staff on a need-to-know basis.

8. Your Rights and Choices

You have the right to:

• Access or request a copy of the personal information we hold about you
• Request corrections to any inaccurate or incomplete information
• Request deletion or restriction of your personal information in certain circumstances

Please note that we may be unable to delete certain information depending on your history and continued involvement with Grace Fishers (for example, giving history required for tax records, or contact information required to maintain ministry service access). Previously removed information may be re-added if you provide it again through a form or registration.

9. Retention of Information

We retain your personal information for as long as necessary to provide our services, fulfill legal and tax obligations, and carry out the purposes described in this Privacy Policy. Giving records are retained for a minimum of seven years for tax and accounting purposes.

California residents may request information about any personal information we share with third parties for their own direct marketing purposes once per calendar year. To make such a request, please contact us through our contact page and include "Request for California Privacy Information" in your message.
